Plan the display around the event
Share the venue, event dates, screen location, audience size and viewing distances, content sources, operating hours, access times and any rigging or site restrictions. Outdoor use, weather protection, brightness and structural requirements must be confirmed for the specific equipment and venue.
Confirm what the rental includes
- Equipment: Confirm the screen type, dimensions, resolution, aspect ratio, inputs and any processor or media player.
- Site requirements: Confirm power, cabling, mounting or rigging, access, loading and required venue approvals.
- Service scope: The quotation should state delivery, installation, configuration, operator or technical support, dismantling and collection, where applicable.
- Schedule and terms: Confirm setup and rehearsal windows, event hours, overtime, cancellation terms and the contact for event-day coordination.
